How Do You Issue Automatic e-Invoices for Marketplace Orders?

Automatic e-invoicing is a workflow that transfers the buyer, address, product, VAT, discount and shipping details from a marketplace order directly into the invoice, issues an e-invoice or an e-archive invoice depending on the seller's and buyer's status, and sends the invoice to the marketplace.

How Do You Issue Automatic e-Invoices for Marketplace Orders?

Automatic e-invoicing means transferring order data from a marketplace (buyer name, address, product, price, discount, shipping) into invoice fields without typing it in by hand, issuing it as an e-invoice (e-Fatura) or an e-archive invoice (e-Arşiv) depending on the seller's and buyer's status, and sending the invoice back to the marketplace. When it is set up correctly, you never miss the 7-day invoicing deadline, amounts match the marketplace exactly, and no order gets two invoices. In this guide, we walk through every step of the setup, the field mapping rules, and the tax rules you need to watch in Türkiye.

How does the automatic e-invoicing flow work?

Whatever software the seller uses, the flow consists of the same steps:

  1. The order is pulled. The order and package number, buyer, address, product lines, discounts and payment details are retrieved from the marketplace API.
  2. The document type is determined. If the seller is an e-invoice taxpayer and the order is corporate, the tax number is checked against the Turkish Revenue Administration (GİB) registered user list. For a seller that only uses e-archive, all orders are invoiced as e-archive invoices.
  3. A draft invoice is created. Order fields are transferred to invoice fields using the mapping rules below.
  4. Checks are run. The VAT (KDV) rate, grand total, mandatory fields, and whether an invoice has already been issued for the same package are checked.
  5. The invoice is issued. The invoice is created as an e-invoice or e-archive invoice through a private integrator or the GİB infrastructure. e-Archive invoice data is reported to GİB no later than the end of the day following the day the invoice is issued.
  6. The invoice is sent to the marketplace. The file is uploaded or the invoice link is sent.
  7. The order is marked as "invoiced." The invoice number is stored with the order.

Decide up front at which moment the invoice will be issued. The most common choice is the moment the order is packed and the shipping label is created; that way, canceled orders are not invoiced and the deadline is not exceeded.

Mapping table: order data to invoice fields

The quality of the automation depends on order fields being transferred correctly to the invoice. The table below shows the most common mappings and the points to watch:

Invoice fieldEquivalent in the orderPoint to watch
Buyer name or trade nameFull name on the billing address; company name for corporate ordersUse the person on the billing address, not the person on the delivery address
TCKN or VKNTurkish ID number (TCKN) for individuals; tax ID number (VKN) and tax office for corporate ordersTrendyol sends the TCKN for individual orders over 5,000 TL; for orders that arrive without a TCKN, decide on the approach with your certified public accountant (mali müşavir)
Billing addressThe order's billing addressCheck that the province and district fields are not empty
Product lineProduct name, barcode or SKU, quantityTake the line name and rate from your product card; match by barcode
UnitPieceIn e-invoices the unit code for pieces is C62; NIU does not mean piece
Unit priceSale price (arrives tax-inclusive)Converted to a tax-exclusive amount using the rate on the product card
VAT rateNot in the order; on the product cardDefine the rate on the product card; don't guess it from the order
Seller discountlineSellerDiscount on TrendyolShown as a discount on the invoice; excluded from the VAT base (VAT Law (KDVK) Art. 25/a)
Marketplace discount or couponlineTyDiscount on TrendyolThere is no explicit GİB rule on how to reflect it on the customer invoice; confirm with your accountant
Shipping feeShipping fee collected from the customerIncluded in the VAT base (KDVK 24/b); shown as a separate line or included in the price
Invoice noteOrder or package numberThe key for matching and duplicate-invoice checks
Payment method and dateThe order's payment detailsMust appear on e-archive invoices for online sales
Website and carrier detailsMarketplace address, the carrier's name/trade name and VKN/TCKNMust appear on e-archive invoices for online sales

Converting a tax-inclusive price to a tax-exclusive unit price can create small kuruş differences; for formulas and rounding, see our VAT calculation article. The invoice's grand total must equal the amount the customer paid.

For coupon and discount amounts covered by Trendyol, the seller issues a separate e-invoice to Trendyol (Finance > Invoice Listing > Invoices I Need to Issue to Trendyol). These invoices are a separate process from the customer invoice; add them to your calendar when you set up the automation.

e-Invoice or e-archive?

The document type is determined first by the seller's status, then by the buyer's. A seller that is an e-invoice taxpayer issues an e-invoice if the buyer is a registered e-invoice user with GİB, and an e-archive invoice otherwise (including for final consumers). A seller that is not an e-invoice taxpayer and only uses e-archive issues an e-archive invoice even if the buyer is a registered company; this invoice is valid and is not canceled and reissued as an e-invoice.

The paper invoice option has also largely disappeared: from January 1, 2026, all taxpayers other than those under the simplified method and the business-account basis issue all their invoices as e-archive invoices regardless of amount; simplified-method and business-account taxpayers issue invoices exceeding 3,000 TL including taxes as e-archive invoices throughout 2026.

e-Invoice taxpayerCorporate, registered e-invoice usere-Invoice
e-Invoice taxpayerCorporate, not a registered e-invoice usere-Archive invoice (with company details)
Not an e-invoice taxpayer (e-archive only)All buyers, including registered companiese-Archive invoice

In Trendyol order data, the commercial=true field indicates that the order is corporate. If you are an e-invoice taxpayer, your automation should then check the tax number against the GİB registered user list; because the list is constantly updated, don't cache the query result for long. If you only use e-archive, the query does not change the document type, but the company's trade name, tax office and tax number must be written in full on the invoice. We explained how to run the query in our e-invoice taxpayer lookup article, and the differences between the two documents in our e-invoice vs. e-archive article.

When should the invoice be issued? The 7-day rule

Under Article 231/5 of the Tax Procedure Law (VUK), an invoice must be issued no later than 7 days from the date the goods are delivered or the service is performed; an invoice not issued within this period is deemed not to have been issued at all. We explained how the period is counted in detail in our how many days do you have to issue an invoice article.

The marketplaces' own rules also fall within this legal period:

  • Hepsiburada: The invoice is uploaded to the relevant order or sent via integration; check the current deadline and file rules in the seller panel.
  • n11: The invoice is issued for the store invoice amount shown in the panel and before the product is handed over to the carrier.
  • Trendyol: Future-dated invoices cannot be added.

The safest approach in automation is to tie the invoice to the shipping step and not allow the label to be printed before the invoice is issued. That way, no package leaves without an invoice.

Uploading the invoice to the marketplace

Issuing the invoice is only half the job; it has to be sent to the marketplace so the customer can see it on their order screen.

MarketplaceDelivery methodPoint to watch
TrendyolsendInvoiceLink (link) or uploadInvoiceFile (PDF, JPEG, PNG; max 10 MB)One invoice per package; the link you send must remain accessible for 8 years
HepsiburadaUpload to the order or send via integrationCheck the current file and deadline rules in the seller panel
n11Panel or integrationA cash register receipt cannot be provided; the invoice is issued before handing over to the carrier
Amazon.com.trIn Seller Central: Orders > Manage Orders > order > Invoice managementBulk upload and API support are available

If the upload fails, the invoice has been issued but has not reached the customer. Your automation should also record the upload result and show failed uploads in a separate list. You can find other invoicing rules for each marketplace in our marketplace invoicing guide.

Preventing duplicate invoices

The most common error caused by automation is issuing two invoices for the same order. To prevent this:

  • Make the order or package number a unique key. If an invoice already exists for a package, the system must not create a second one.
  • Don't keep manual and automatic invoicing on at the same time. If an invoice issued manually from the panel isn't reported to the automation, a second invoice goes out for the same order.
  • Check the status before retrying. An invoice that shows as "could not be sent" due to a connection error may actually have been issued; check its status at the integrator before resending.
  • Watch out for split packages. On Trendyol, one invoice is uploaded per package; if you split an order into multiple packages, each product line must appear in only one package and one invoice.
  • Run a daily count. A simple end-of-day report comparing the number of invoiced orders with the number of invoices catches duplicates on the same day.

If a duplicate invoice was issued, cancel the extra one within 8 days from the date the document was delivered to the buyer; after 8 days, the GİB system does not allow a cancellation request. We explained how cancellations are reported to GİB in our e-archive invoice cancellation deadline article.

Invoices for returns and cancellations

SituationWhat to do on the invoicing side
Canceled before shipping, no invoice issuedNo invoice is issued; the automation must skip orders in canceled status
Canceled before shipping, invoice issuedThe invoice is canceled within 8 days from the date it was delivered to the buyer
Return from a final consumerThe seller issues an expense voucher (gider pusulası), or the consumer fills in and signs the return section of the e-archive invoice; a VAT adjustment can be made
Both parties are e-invoice taxpayersThe buyer issues an e-invoice of type IADE
Buyer is an e-invoice taxpayer, seller uses e-archive onlyThe buyer's return invoice is issued as an e-archive invoice
Rejection of a commercial invoiceUnder the Commercial scenario, the buyer can reject the invoice within 8 days; clarify what to do after a rejection with your accountant
Partial returnA document is issued only for the returned lines

No withholding tax (stopaj) is applied to an expense voucher issued for a consumer return; for details, see our expense voucher for consumer returns article. The automation should detect returned orders, prepare the relevant document, and add the returned product back to stock after inspection.

Setup checklist

  1. Define the VAT rate and the unit (C62 for pieces) on every product card.
  2. Match product barcodes with the listing on each marketplace.
  3. Add the order or package number to the invoice note template.
  4. If you are an e-invoice taxpayer, run the GİB registered user query automatically for corporate orders.
  5. Clarify with your accountant how seller discounts, marketplace discounts and the shipping fee will be reflected on the invoice.
  6. Decide the moment the invoice will be issued (such as shipping label creation) and turn off manual invoicing.
  7. In the first few days, compare automatically issued invoices with orders one by one.
  8. Regularly check the daily order-invoice count report and the failed upload list.

For matters that require interpretation, such as discounts and coupons, confirm your approach and your document type choices with your certified public accountant.

Frequently asked questions

Is it legal to issue automatic e-invoices for marketplace orders?

Yes. What matters is not how the invoice is prepared, but that it is issued with the correct information, as the correct document type, and on time. Automation only takes over the job of transferring order information to the invoice.

When should an automatic e-invoice be issued?

The legal limit is 7 days from delivery of the goods; some marketplaces, such as n11, require the invoice to be issued before the item is handed over to the carrier. The safest moment is the step where the shipping label is created.

What should I do if two invoices are issued for the same order?

Cancel the extra invoice within 8 days from the date it was delivered to the buyer. Then prevent a repeat by making the order or package number a unique key.

For a corporate order, do you issue an e-invoice or an e-archive invoice?

If the seller is an e-invoice taxpayer, an e-invoice is issued if the buyer's tax number is on the GİB registered user list; otherwise, an e-archive invoice is issued with the company details. If the seller is not an e-invoice taxpayer, an e-archive invoice is issued even if the buyer is a registered company.

Is the shipping fee charged to the customer included on the invoice?

Yes. The shipping fee collected from the customer is part of the sale price and is included in the VAT base (KDVK 24/b).

e-Invoice (e-Fatura)Q&A

Can an e-Invoice Taxpayer Issue a Paper Invoice?

No. Taxpayers who use e-invoices are also covered by the e-archive system. If the buyer is an e-invoice user, you issue an e-invoice; otherwise (including end consumers), you issue an e-archive invoice. If a paper invoice is issued, the document is treated as never issued, and a separate penalty applies to each document.
