Short answer

In addition to standard invoice details, an e-archive invoice for online sales includes the website address, payment method, payment date, the carrier's name/trade name and tax ID (VKN) or Turkish ID number (TCKN), and a return section; the invoice is delivered to the buyer electronically.

What Information Must an e-Archive Invoice for Online Sales Include?

When you issue an e-archive invoice (e-Arşiv) for an online sale, it must include five fields in addition to the standard invoice details: the website address where the sale was made, the payment method, the payment date, the name/trade name and tax ID number (VKN)/Turkish ID number (TCKN) of the carrier, and the return section the consumer will use. The invoice must also be delivered to the buyer electronically.

Fields specific to e-archive invoices for online sales

FieldWhat to enterMarketplace example
Website addressThe website where the sale was madetrendyol.com for a sale on Trendyol
Payment methodCredit/debit card, bank transfer/EFT, cash on delivery, etc.Card payment through the marketplace
Payment dateThe date the customer made the paymentThe payment/order date in the order data
CarrierThe shipping company's trade name and VKN (if an individual, their name and TCKN)The contracted shipping company assigned to the order
Return sectionThe section the consumer fills in for a returnThe return area at the bottom of the invoice printout

The return section matters: if a consumer returning the goods fills in and signs this section, the document replaces the expense voucher (gider pusulası) the seller would otherwise issue. If the customer sends the product back without filling in this section, you document the return with an expense voucher; see expense voucher for consumer returns.

Standard invoice details must also be complete

The specific fields do not replace the information every invoice must already contain:

  • Issue date and invoice number
  • The seller's name/trade name, address, tax office and VKN
  • The buyer's name/trade name, address and TCKN, or tax office and VKN
  • Type, quantity, unit, unit price and amount of the goods
  • VAT (KDV) rate and amount; discount, if any

If the buyer's TCKN is unknown, confirm with your integrator and your certified public accountant (mali müşavir) how to fill in the ID field; the practice may differ depending on the invoice amount. On Trendyol, the customer's TCKN comes with the order data for orders over 5,000 TL. For corporate orders (commercial=true on Trendyol), the company's trade name, tax office and tax number are provided; if the buyer is an e-invoice (e-Fatura) user, you must issue an e-invoice instead of an e-archive invoice.

Watch out for discounts: a discount you fund yourself (lineSellerDiscount on Trendyol) is shown on the invoice as a discount. There is no explicit Turkish Revenue Administration (GİB) regulation on how a discount funded by the marketplace should be reflected on the customer invoice; confirm this with your certified public accountant.

How is the invoice delivered to the customer?

For online sales, the e-archive invoice is delivered electronically, not on paper. On marketplaces, this is done by attaching the invoice to the order:

  • Trendyol: The invoice is uploaded as a link or as a PDF/JPEG/PNG file (up to 10 MB); one invoice is attached per package, future-dated invoices are not accepted, and the link you submit must remain accessible for 8 years.
  • Hepsiburada: The invoice is uploaded as a PDF within 7 days of the order date or delivered via integration.
  • n11: The invoice is issued before the package is handed to the carrier; a cash register receipt cannot be given.
